Photographer + news agency workflow

You're filing to wire services, newsrooms, or agencies on deadline. Possibly multiple desks at once. The metadata has to be right when the file arrives because the desk picks it up automatically.

Scenario¶

A press, sports, or photojournalism assignment. Output goes to one or more wire-service FTP endpoints. Files must have IPTC byline, copyright, credit, and caption fields populated correctly because the wire ingest is automated and rejects or mis-files images without them.

Recommended setup¶

• One outbound FTP destination per wire desk — host, credentials supplied by the desk, target folder per their instructions
• Metadata template matching wire requirements — every required field populated
• Personal backup destination always enabled — never trust a single delivery path on deadline
• Mobile dashboard access for toggling desks per assignment
• 5G hotspot or venue Ethernet for reliable bandwidth

Setting up wire destinations¶

For each desk:

1. Click Manage FTP Destinations in the ZenTransfer Dashboard
2. Add an outbound FTP server with the host, port, username, password, and target folder the desk gave you
3. Use the Test button to confirm credentials work
4. Set the per-destination enable toggle to match the assignments where you file to that wire

Some desks accept FTPS or SFTP; use the secure variant when available.

Metadata templates that pass wire ingest¶

Wire services have specific IPTC field requirements. A working template usually includes:

• Byline — your name as the photographer of record
• Caption — written caption following the wire's style
• Copyright Notice — current year, your name or agency
• Credit — agency line or freelance attribution
• Object Name — the slug the desk uses to file the image
• Keywords — IPTC keywords used by downstream search

Check your wire's documentation for required fields; some require Source, Headline, or Special Instructions. Build a separate template per wire if their requirements diverge. ZenTransfer supports the same fields as Photo Mechanic, FotoStation, Photoshop, and IPTC Core.

Filing flow on deadline¶

1. Before the assignment: enable the wire destinations for today, switch to the right metadata template, confirm a test frame reaches every desk
2. Connect on location, shoot
3. Each frame fans out to every enabled wire desk and to your personal backup in parallel
4. Watch the dashboard or History panel for delivery confirmation
5. After the action, disable the per-job wire destinations so they don't bleed into the next assignment

What the desk sees¶

A standard FTP ingest server with your files arriving. The desk's automated ingest reads IPTC, files the image into their internal system, and human editors pick from there. They do not need a ZenTransfer account or any awareness of ZenTransfer's existence.

Backup destination strategy¶

Always send to a personal cloud destination alongside the wire desks, or enable a gallery in ZenTransfer to retain your own copy of the shots.

• Year-end archive of your published work

Realtime monitoring¶

The dashboard shows transfer and statistics in real time. Check your phone from time to time to see that the destinations are reachable and all files have been delivered.
